Almost nobody should hand over every call on day one. Coverage is scoped deliberately, and each scope is a separate decision:

What the agent does on a call
The call flow is built around HVAC job types rather than a generic greeting script. On a live call it will:
- Answer immediately, at any hour, with no queue and no hold music.
- Classify the job — no-cool, no-heat, maintenance or tune-up, replacement estimate, warranty, or commercial.
- Qualify urgency against your rules: occupancy, vulnerable occupants, secondary heat or cooling, and whether this is a repeat failure.
- Capture the details a dispatcher needs — verified service address, access notes, system type and approximate age, and the symptom in the caller's own words.
- Route, book, or escalate — notify your on-call technician for qualifying emergencies, place a booking or a hold where that is configured, or take a callback for anything ambiguous.
- Follow up by SMS with a confirmation, so the caller has something in writing before they think about calling anyone else.
- Hand over a transcript and recording attached to the job, so nothing is lost in a summary.
It does not price replacements, perform load calculations, negotiate, or improvise when a caller says something it has not been built to handle. Those calls get escalated to a person. A system that guesses in those moments costs more than the call it saved.
How it gets installed
- Missed-call audit. We go through your call tracking and dispatch records and separate genuinely missed revenue calls from spam, wrong numbers, and repeat dials. You get the real figure, whether or not it justifies going further.
- Call flow build. We build your job types, qualifying questions, escalation rules, and after-hours logic. This is where the specifics of your business get encoded — who gets woken at 2am, and for what.
- Internal testing. You and your team call it, text it, and try to break it. It speaks to zero real customers during this phase. Most of the useful changes come from this step.
- Narrow go-live. One scope only, usually after hours. Real calls, limited blast radius, reversible in minutes by changing your call forwarding back.
- Review and widen. We read transcripts together, fix what reads badly, and only then add overflow or additional scopes.
How it connects to your stack
Depending on your tools and plan, jobs can be handed off by calendar booking, email, SMS, Zapier, webhook, or a direct CRM handoff, and passed into the field-service software your team already uses — ServiceTitan, Housecall Pro, Jobber, or GoHighLevel among them.

Protecting your reputation while it runs
The objection worth taking seriously is not cost, it is what happens when the system handles a customer badly. Four things reduce that risk, and all four are part of the install:
- It is tested internally first and does not go near a real customer until you sign off.
- It starts on the calls you are already losing, so the comparison is against voicemail, not against your best CSR.
- It escalates rather than improvises when it does not understand.
- It is reversible immediately — coverage is a call-forwarding rule, and you can take it back without our involvement.
How pricing works
There is a one-off build cost for the call flow and integration work, and a monthly fee for running it. The build cost depends on how many job types and escalation paths your business actually needs, and the monthly depends on scope and volume — which is why we quote after the audit rather than publishing a number that would be wrong for most companies.
What we can say usefully in advance: if your modelled leakage from the missed-call calculator is smaller than a typical monthly fee, we will tell you not to buy this. That happens, and it is a cheaper conversation for both of us than an install that never pays back.

Does this replace my CSR?
No. It is built to back up a front desk, not remove one. It covers missed, after-hours, and overflow calls and hands clean job details to your team. Companies that try to replace their CSR entirely usually find the calls that need a person are the high-value ones.
How long does it take to go live?
The audit is immediate. The build and internal testing phase is typically a matter of days rather than weeks, and the length depends mostly on how quickly your team gets through testing — that step is on your side, not ours, and rushing it is the main cause of a bad launch.
What happens during a heat wave when volume triples?
Simultaneous call capacity is the main structural advantage here — there is no queue and no per-minute overage at exactly the moment you are busiest. What it cannot do is create technician capacity, so if the constraint is trucks rather than phones, booking more jobs makes things worse, not better.
Can we keep our existing phone number?
Yes. Coverage works by conditional call forwarding from your existing number, so nothing changes for customers, your number stays on your vans and listings, and you can switch it back yourself at any point.
What if it handles a call badly?
You will see it, because every call produces a transcript and a recording. That is the point of reviewing them together during the first weeks. Call flows get corrected based on real transcripts — the first fortnight of a narrow rollout is where most of the tuning happens.
